Practical recommendations for remote meetings

You don't need to follow all of them, but the more recommendations you can meet, the better your experience during the meeting will be. This applies to any remote meeting in professional work contexts.

Physical Space

  1. Find a quiet and well-lit place
  2. Ensure good ventilation in the space
  3. Avoid spaces with echo or background noise
  4. Maintain a comfortable temperature for concentration
  5. Use a comfortable chair with good back support
  6. Keep your desk tidy and free from visual distractions
  7. Have a plan to minimize domestic interruptions

Personal Preparation

  1. Keep water or drinks nearby to stay hydrated
  2. Prepare necessary materials before starting (notes, documents)
  3. Dress appropriately (you'll be screen sharing)
  4. Use the bathroom before starting
  5. Connect 5 minutes early to resolve technical issues

Application Environment

  1. The larger your screen (or use two screens), the more flexibility you'll have to view relevant information, which will be at least two windows (where you see other group members' cameras and the group's shared screen). You might need more if you have to open shared documents, drawing boards/post-its, or visual meeting management tools. Tablets and phones provide very limited participation possibilities.
  2. Close unnecessary applications or windows and disable notifications on computer and phone to avoid distractions
  3. Familiarize yourself with the meeting tool's basic controls (like sharing emotions)
  4. Have the necessary documents ready on your device
  5. Set up a neutral or blurred background if you want to maintain space privacy

Ergonomics

  1. Maintain proper screen distance (approximately arm's length)
  2. Adjust screen height to avoid neck strain
  3. Maintain good body posture
  4. Have enough space for note-taking
  5. Prepare to be seated for two hours
  6. Take a visual break before the session and use breaks between meetings to rest your eyes (don't use this time for emails, messaging, or social media). Use artificial tears if necessary to rest your eyes
  7. Plan brief breaks during the session if possible

Meeting Operation

  1. Keep your camera on during the meeting
  2. Use chat for questions without interrupting
  3. Be clear about the delivery system for meeting activities or results (minutes, reports, tasks...)
  4. Have easy access to necessary documents or relevant links
  5. Prepare a notebook or digital document for notes (if digital, it is better if shared with your group, including your professor). If your professor/manager provides access to any platform, use it so you can all be connected
  6. Make local copies of documents occasionally in case of connection failures

Learning Analytics

Thanks to the interactive platforms presented in "Creating an Engaging Virtual Learning Environment", it is easier to analyze data and gain insight. This is called learning analytics. 

Learning analytics in online education offers powerful insight for enhancing teaching effectiveness and student outcomes. Leveraging these capabilities is crucial for informed decision-making and personalized learning experiences. 

Basically, it is quite recommendable to use built-in analytics to 1) Track student participation patterns, 2) Identify areas of confusion or interest, and 3) Inform about future lesson planning and content delivery. 

As teachers, everything we do aims to offer a learning experience to our students. Experience API (also xAPI) allows us to collect this experience during e-learning training. In other words, xAPI is a model that allows to know, collect and distribute the experience that the learner has through the training within the platform. 

xAPI is a learning technology interoperability specification that makes it easier for learning technology products to communicate and work with one another. This API captures data in a consistent format about the learner from very different systems. These statements are then sent to a Learning Record Store (LRS). A LRS is simply a place where records about learning are stored. The statements can even be shared with other LRSs. Besides, an LRS can exist on its own or within traditional Learning Management Systems (LMSs) through which formal training content, activities, and evaluations can be offered. 

Through learning analytics and making use of the data collected with xAPI, actionable insights can be discovered. This allows the creators of e-learning content to understand how students learn, to keep track of their steps and the time they spend within the platform, their interactions, etc. It could be said that xAPI monitors what is essential to make the learning experience more fluent and efficient. In short, it contributes to providing a completely personalized learning experience.

There are some strategies to develop and explicitly transmit such an environment. By explicitly implementing and consistently reinforcing these strategies, educators can create an environment where students feel empowered to take intellectual risks, view failures as stepping stones to success, and develop resilience in their academic journey. This approach not only enhances learning outcomes but also prepares students for the challenges they'll face beyond the classroom.

  • Clear communication of Expectations:
    • Explicitly articulate that mistakes are not merely acceptable, but essential components of the learning journey. Establish clear, written ground rules for respectful behavior and mutual support, and consistently reinforce these throughout the course. SINCOE@ (innovation competence assessment tool) v1

What is the SINCOE@ Assessment Tool?

Innovative behaviour and generic innovation competences are shared aims for degree studies in all study fields in all European higher education institutions. However, narrower views have been put on how students are learning innovation competences in the digital environments. Additionally, empirically validated instruments to identify and assess learning of innovation competences in educational online contexts are missing.

The novel re-validated SINCOE@ Assessment Tool is created to help identifying, assessing and developing innovation competences in online learning situations. The assessment tool includes five dimensions with 33 items of innovation competences and one subdimension with four optional items with sustainable-development aspect as part of critical thinking dimension.

 

Following the definition of SINCOE@ Assessment Tool, innovation competence is the ability to create, introduce, adapt, and or apply a beneficial novelty in any part of an organization. That is to say, being able to introduce something new (an idea, a method or process to do something, or a device, or an invention) or the useful improvement of something that already exists and adds value to people or organizations and society or planet. In the search for adding value, the innovation process starts with the proposal and generation of new ideas and ends with using the results.

Why to use the SINCOE@ Assessment Tool?

The SINCOE@ Assessment Tool helps students identify their strengths and weaknesses in innovation competences. It encourages students to actively monitor and regulate their learning by reflecting on their achievements and demonstrating whether the requirements of courses have been fulfilled. Continuous self-monitoring helps them to identify learning opportunities. The process also expands their understanding of their professional identity. This kind of self-monitoring and reflection enhance also students’ metacognitive skills and prepare them better for adapting to new tasks, complex life and work-environments.

Additionally, with the help of innovation competence dimensions, students can describe their skills more concretely, such as their strengths in creative problem-solving or teamwork. The ability to describe about one's own competence in a variety of ways helps in job-seeking.

Moreover, the SINCOE@ Assessment Tool also raises awareness of innovative behaviors. According to Messmann and Mulder (2011), work contexts offer many opportunities for innovation, but individuals must recognize these to become active innovators. Thus, the SINCOE@ Assessment Tool help to understand the importance of applying innovation competences in both innovation processes and work practices.

How to use the SINCOE@ Assessment Tool?

The assessment tool can be applied in many ways.

Students

It can be used as a student assessment, for example as self- or peer assessment or group reflection of a student team. The tool can be contextualised to a single project, course or (online) learning environment, or it can be used to support the reflection of long-term competence, for example, throughout the degree.

Teachers:

In teacher assessment, it can be used, for example, in teacher assessment assessing the teacher's or team of teachers' own innovation competencies in the implementation of pedagogical solutions. Additionally, the tool can also be used as a frame of reference in the planning of pedagogical script and teaching, to mirror whether pedagogical online solutions that enable the development of students' innovation competencies are realised in the plans. In this way, it helps identifying the special skills that are emerging during their pedagogical practices, and thus, support in evaluating the quality of their own course designs or implementations.

In external assessment, the tool can be used, for example, in giving feedback for student teams when an external actor is unable to continuously monitor students' work and learning. Facilitating effective self-assessment with the SINCOE@ Assessment Tool

Successful, reliable and realistic assessments always require prior discussions with students and careful preparation, ensuring a common understanding, and motivating students to self-assess. Educators can help students develop the skills needs for effective and development-oriented self-assessment, leading to greater self-awareness and continuous improvement.

  • Clear objectives: The assessment tool alone isn’t enough; joint discussions and clear introductions to the assessment goals, methods, and criteria are essential. Explain what is being assessed, and why.
  • Provide Examples: Use practical examples to illustrate and contextualize what innovation competence means in practice. This helps students observe their own performance accurately.
  • Encourage Reflection: Create opportunities for students to reflect on their learning experiences of innovation competence. This can be through discussions, or self-reflection exercises. Reflection not only deepen the learning but also helps students recognize their strengths and areas for improvement.
  • Peer and Team Assessment: Utilize peer or team assessment-activities. This not only helps students learn to assess others but also provides additional perspectives on their own competence.
  • Foster a Supportive Environment: Build an onsite or online classroom culture where self-assessment is seen as a positive and constructive process. Encourage honesty and openness.
  • Feedback: Offer regular, constructive feedback to guide students in their self-assessment. Highlight both strengths and areas for improvement.
